How Planobot Works

Follow the Planobot workflow from an imported email through analysis, review, and tracked property work.

The message-to-action workflow

The normal workflow is:

  1. A property-related email is imported into the Inbox as a Message.
  2. Planobot analyzes the Message and looks for useful facts and related records.
  3. Planobot may identify or propose Properties, Contacts, Counterparties, Tasks, Payments, and informational links.
  4. The Message detail shows the detected records and the evidence that connects them.
  5. You review proposals that need approval and continue the work from Tasks, Payments, Properties, or the related record.

Email → Message → analysis → proposed or linked records → user review → managed work

What happens automatically

After Gmail import, Planobot stores the Message and queues eligible messages for analysis. Analysis can match existing records, propose new records, classify a message as informational, and associate a message with a Property or other record.

Ongoing Gmail monitoring and analysis run in the background. During initial setup, the Processing page reports imported, already-present, and analyzed results.

What remains under your control

AI-identified records may appear with Needs Approval. You decide whether to approve, reject, or merge those proposals. You can edit a Task, Payment, or Property after opening its detail page. You can also create Tasks and Payments manually.

Planobot does not send email, edit Gmail messages, pay invoices, or transfer money.

The source stays connected to the result

A Message is evidence, while a Task or Payment is structured operational work. Links between them let you move from a record back to the source communication and review why the record exists.
