About Planobot
What is Planobot?
Planobot is an inbox-first property operations app for small property managers and owner-operators. It imports property-related communication and organizes useful information into linked operational records.
How does Planobot work?
Planobot keeps imported email as Messages, analyzes those Messages, proposes or links structured records, and lets users review and manage the resulting work.
Gmail
What happens after I connect Gmail?
Planobot imports eligible Gmail Inbox messages from the range you choose, stores them as Messages, and analyzes messages that still need analysis. Ongoing monitoring can continue after setup.
Does Planobot modify my Gmail messages?
No. Planobot requests read-only Gmail access and cannot send, edit, or delete Gmail messages.
What happens when I disconnect Gmail?
Planobot revokes the saved Google grant when possible and stops future imports. Previously imported Messages, attachments, and derived records remain until the applicable deletion process removes them.
Analysis and review
What if Planobot creates an incorrect Task or Payment?
Reject a proposal that should not exist, merge a duplicate, or edit supported fields. Approved Tasks and Payments can also be edited from their detail pages.
Can one Message create multiple items?
Yes. One Message can support more than one result, such as a Task, a Payment, a Property relationship, and related people or organizations.
What happens when a due date is missing?
A Task or Payment may have no due date. Do not invent one; add a date manually only when you can verify it from the source or your own operational knowledge.
Payments
Does Planobot automatically pay invoices?
No. Planobot tracks payment obligations and evidence. It does not send money, charge a card, or execute a financial transaction.
What does Approved mean for a Payment?
Approved means the payment obligation has been approved inside Planobot's tracking workflow. It does not mean money moved.
Properties and missed results
How does Planobot associate activity with Properties?
Planobot uses Property names, addresses, aliases, and message context to propose links. Users can review, add, replace, or remove supported Property relationships.
What should I do if an important Message was missed?
Open the Message, check its analysis state, re-run analysis when available, or manually create a Task or Payment and link the source Message.
